In my previous article I showed you the first step I take when replying to any inquiry I receive, which is responsible for filling up the calendars of all my properties 8 to 9 months a year in the last 9 years, and for bringing in over $10,000 worth of bookings in just a few days since last week.
Actually, since I shot video #1, I turned other inquiries into solid bookings, brought home $2,500 more and went from 40 to 43.1% occupancy for the current year, compared to our yearly standard. And we’re still just at the beginning of 2016.
I do see a decrease in the number of inquiries I get from listing sites, but at the same time, I’m getting most of them directly through my own website, and this is also very good news.

Have You Ever Wondered…? (The Problem)

Have you ever wondered any of these things?
Have you ever wondered why you sometimes don’t get any reply from travelers who sent you an inquiry? Why is that?
Maybe they booked something else already.
Maybe they changed their mind.
Maybe they didn’t like your offer or the way you responded.
Or even worse…maybe they never even received your email because it ended up in their spam folder.
How do you know what really happened? And most importantly, how can you change your strategy, refine your best practices and correct your mistakes, if you don’t know where you’ve gone wrong and what the cause is?
Sounds Familiar? (The Frustration)
Once you send your reply, you experience that “standby” period where you hope that your prospect will get back to you soon with a positive answer or at least with a question or a sign of an interest in your offer. Time goes by and you may not hear a thing most of the times.
Honestly, I’ve learned from my mentors that “hope marketing” leads nowhere…and in our industry it’s not what successful owners do to fill in their rentals. There is a mind shift from a passive to a proactive approach that turns results upside down in your favor.
And today’s content shows you just that.
Here’s What I Do. (The Solution)
I’m going to give you now my second step in my 3 step sequence for converting nearly all my inquiries into solid bookings and I’ll teach you how you can do the same exact thing, so you’ve got all the elements to populate your second template in your outstanding email sequence.
Let’s begin:
If you remember, the first thing I do minutes after I receive an inquiry is reply with a standard, short message, which is the one I gave you in my earlier video. I do that to be first in line in their inbox, because I know that my prospects sent their inquiries to at least 10 other owners, some industry data says the average is twice as much.
I also know both from statistics and from my own personal experience that the faster I am, the higher my chances to get the booking.
And I also know that my prospect has no time to go through a long message, so I want to be short to grab the attention at this early initial stage and have him/her make a small commitment that psychologically makes a huge difference. And that commitment is clicking a link inside that message that will blow them away and will trigger the next phase that will turn them into paying guests!
I’m not willing to sit and wait though, hoping they’ll open my mail and click on that link, because “hope marketing” leads nowhere. And I also want to make sure I know where I’ve gone wrong, if I have, so I can refine my strategy and get more bookings next time.
The ‘Anti-Spam’ Check Message (Message #2)
A couple of minutes after I sent the initial reply, I send a 2nd message, that I call, “the anti-spam check message”: it’s basically a very simple and short email saying this:
“Dear (first name),
we are just sending you this quick email to make sure you received our previous reply to your enquiry, that we sent a few minutes ago.
As we found out that sometimes replies can get into the spam folder due to embedded pictures and links, we have no way to find out whether or not you received our comprehensive response unless you let us know.
Could we kindly ask you to give us a quick confirmation that you got this and the previous email?
Even hitting reply and typing “ok” would do good.
We would be very thankful for that, regardless of whether or not you will end up deciding to stay at Casa Teulada.
Your much appreciated cooperation will help us giving a better service time after time, so we can meet all our guests’ needs and understand if and where we go wrong.
Looking forward to reading from you, I send you my best regards.

What’s This All For? (The Purpose)
This message is very important and you should see how many times we get a reply as a result.
It is very important for 3 reasons:
- first and foremost, this is a plain text message, meaning there are no links, no images and none of the elements that may get caught into spam filters, and I regret to tell you that sometimes even the replies you send from listing sites end in your prospects spam!
- Secondly, the purpose of this message is to pass the spam filter and end in your prospect’s inbox, when your previous message may have not, so it brings your standard reply up to their attention, they open, read and click through the link within, in case that link was the cause for spam detection, and…
- last but not least, this message pushes them to take a little action and commit to a reply, something you may think is meaningless yet it’s very powerful instead, because it triggers reciprocity, which is something I’ll delve into at a later time.
Besides, a message like this one shows the level of commitment you have to the business and that’s a sign of how reliable and professional you are.
Your Template At Hand
So go ahead now and download this second template below.
Copy and paste it into a draft in your mailbox and try it out next time you get an inquiry.

Remember to remove any image you may have, for example in your signature, and if you have a nice one like mine by default, remove that one too and simply write your name.
You should see an increase in the response rate you get from your prospects and if you apply the whole sequence I’m giving you, that includes a third message I’ll share with you in my next video, you’ll most likely see an increase in your conversion rate, or in the number of enquiries you turn into solid bookings.

Another excellent tip Antonio. I typically send a follow-up email a day later BUT in reality that is too late. I will now use this shortly after the initial response if I have not been able to call them. I also have another trick used to be sure they have received the initial email but will not reveal in case you are going to talk about it in secret #3 😉
Yes, Ralph, one day later can be a little too late for a number of reasons you can imagine (prospect made a decision already, someone else was faster and influenced him/her more, you didn’t hit while iron’s hot, to mention a few).

Well I sent your follow-up email to someone who inquired yesterday without a phone number – they responded that booked elsewhere but did get original mail! Pity no phone number becuase i have good success if i talk to prospect. Oh well!!!
That’s a pity, Ralph. Keep doing what you do best, so in your case use the phone as often as possible and if you can’t get hold of them on the phone use the follow-up email. As you saw, people are responsive to a message like that and in this case you closed the circle. Sometimes when that happened to me in the past, they said the found a place in a different part of the island but were happy to get info from us for a future stay and in some cases they ended up booking the year after 🙂

Yep! And you see what I mean, when I say in the video that such an approach allows you to see where to improve and what to tweak. In your case, sending the follow up earlier may get you to close more bookings.
Great advise as always! I use GetNotify to verify if my guests open their email so my follow up (after I know they opened it) will be to ask if they have further questions… if there is anything I can help them with and include a section that lets them know of events in the area during their stay.
If they have not opened it then I will know it went in their spam folder (or they are busy), and this is where your template would be fabulous for me to send on over!
The inital email I sent out is also a bit more informative, not long …but informs them quickly what they are getting for their money (what we include in our price to avoid further questions like “is the tax included, fire wood…etc).

Correct assumption, Celine @villamercier:disqus. If you know they didn’t open the mail, chances are it ended in their spam or it slipped away. So this little trick does its job well.

Another vote for getnotify… you can see at a glance when (if) the email was opened as well as how many times it has been opened together with other options if you choose to go the paid route.
These templates are really helpful to get renters started, but it’s important to put your own voice in the write up too.
Your own voice is actually in each of the templates. The Bespoke Reply they click on in the first message is ‘the’ own voice 😉
Thanks for insight Antonio, would be curious what email subject line you are using as this is what can be considered by some email software as spam while it must trigger attention from the reader.
Would you agree to have the property make, guests name and dates of stay as subject? this also creates the email trail which can be easily followed in a busy email inbox?
Hey Marc! I normally use the subject line “your enquiry about Casa Teulada Sardinia”. Plain and simple. It’s got the property name (for branding and to incept the idea they can ‘Google’ it in case they landed through a listing site, so they find our site directly) and location, which should instantly grasp their attention, as they’re looking to go on holiday just there. I try to make the email subject line personal and concise, while I avoid adding their name and dates of stay. I do agree with you that using your suggestion can be easily followed in a busy inbox.
I’m going to reveal some more about what I do, in my next video. For now, just know that I normally get a confirmation from senders that they got both messages and I have also another way to know that before hand…but I’m going to share it in Video #3 😉

yes one clever formulated message. To answer your direct question: yes, I’m doing something like that for several years. However I have one problem: most of the inquiries I receive for our Biarritz condo are generates by listing sites such as flipkey, homeaway and similar. And, of course, those sites do not allow any links back to my proper website that is one of the greatest features of your message No 1. (that I understand, their money is in question). Would you have any suggestions?
With regards to inquiries received via Homeaway, when I send the reply through their dashboard I usually type the direct url of the link instead of hyperlinking a sentence like “Casa Teulada -John Doe”, and please everyone reading this correct me if I am wrong but when I send the reply via HA’s dashboard I get a copy of that as well in my mailbox and the links are clearly clickable.
Secondly, I have a super cool little secret, that is a simple script that triggers every time my prospect clicks on ‘that’ particular link to my ‘Bespoke Reply’ (See Video #3 in this sequence, where I talk about that) and sends me an instant notification, so I know 100% if, when and that my prospect did actually receive the reply, opened it and most importantly clicked the most important part of all and was taken away from the listing site loop and directly into my own communication system 😉
An alternative way, for as long as sites like HA still allow for us to view our prospect’s email address within their dashboard (not applicable with sites like Airbnb and Booking for example) is also to copy/paste that address – or even ‘export’ you prospects list – onto a new message from you own email client and send your reply externally. Something I also do.
One more option is to have a clear Brand name for your property (such as Casa Teulada in our example) and fit into your reply a subtle, gentle and clear invitation to “view more about our property by making a search for (your brand name) online”… On sites like Airbnb for example, it is still nearly impossible for them to hide words that are not specifically related to email, Google, website, and keywords like that, so you have a little way out to get prospects, or at least the most interested ones, to type in the name of your property on Google and land on your own website.
Another option, if you don’t hear anything back from your prospect is to send a quick SMS (text message) at the number they left in your dashboard – again where this is still visible, like on HA in Europe for example – with a simple note kindly informing that you sent them your quote and were wondering whether they received it or not. That works too.
The winning key to this lays in the script I mention that’s inside the link to my ‘Bespoke Reply’ in my message #1, which sends me an instant notification 100% of the times, so I know for sure whether they did actually view it or not. And from there, my conversion sequence kicks in…

thank you very much for taking so much of your time to give me this very detailed answer. Actually HA and similar are really easier to handle, while flipkey doesn’t provide any access to client’s email or phone number until they made a full payment. Once they blocked my message just because it was in French (hence a customer inquiry was in French too) and they were not able to figure out was is in the message.
I have a feeling the listing sites are becoming more and more greedy and aggressive, charging customer up to 20% over my listing price. Is everybody noticing that or am I the only one?
competition for more money is definitely on the rise. Foreseeing where this leads to is not going to be easy…One thing we’ve got to do for sure is keep getting our eggs in multiple baskets, privileging our own (our website)…the only basket we’re full in control of.
Yes, actually, I have been doing this for years. I answer within the the listing site just to say that I am sending a
private email. Then I send the private email (links, attachments, etc.)
and followup with the anti-spam message (also to their email address) within minutes of my private email. But there is always room for improvement. For example, I am now thinking that the subject line on the anti-spam should definitely be different than the one in their original inquiry to me. I like your suggestion “your inquiry about . . .”). After all, using the listing site’s subject line (which gives additional exposure to the listing site) is not good – it should be ME getting the exposure! So simple, so smart, just common sense! Also, I need to include the “ask” so that they let me know if they received the messages – I have never done that. And one more change that you have inspired . . . I always fish out my first email from the sent folder, hit reply to all, and add the anti-spam message at the top. That isn’t good because the “ask” is now awkward. Better to make this message stand-alone, yes? Thanks for this great advice!
Hello Antonio, Thank you for all the info. I also have been doing similar things in my reply. I address the email to prospect’s personal email address, then cut and paste HA URL into Cc, so that HA knows I have responded. In Subject, I write e.g..: “Your Enquiry: Villa Maestrali, Skiathos, Greece/ Fr 6 – Fr 13 July, 2016 / 5 Persons”. Next, I start the email with a large beautiful photo of our property with a caption: View of…
I add a link to our favorit car rental service, with the offer of free diivery to airport or villa directly upon arrival. Then a link to our favourite taverna 2 minutes away from our property, with the offer to reserve a table for their first night, with complimentary wine, so as to spare them shopping after travel.
I will take your advice about the anti spam message, which is great, thank you. As to the bespoke reply, I don’t understand what that is and how it works, even though I watched your videos. Could you please reiterate this for me?
Although we are usually fully booked, this year, we ahve noticed a decline in requests, which I think are because I refuse to install the “book now” button on HA.

You are just one more time confirming the trend everyone has seen this year with a (often even massive) decline in enquiries coming from HA/VRBO/OD and that is regardless of whether you comply with their “book now” rule.
